Administrative Assistant

Department:  College of Business

Reports To:  Dean, College of Business


Position Summary

The administrative assistant provides frontline and administrative support services for the College of Business by performing the following duties.


Essential Duties and Responsibilities


Daily Office Operations

  • Assists the dean and faculty within the unit with all assigned tasks pertaining to administrative processes.
  • Represents the unit to students, parents, accrediting bodies, professional organizations, business and industry, and other relevant stakeholders to ensure a professional and hospitable environment.
  • Edits outgoing communication to ensure professional quality of work that meets university standards.
  • Maintains unit website to ensure material is timely, complete, and accurate.
  • Assists in the completion of assigned projects within the appropriate time frames.
  • Manages the unit calendar and assists with that of the dean.
  • Manages incoming calls and other correspondence and responds in a timely manner and independently when possible.
  • Prepares and maintains timely and orderly filing systems for all administrative activity of the unit.
  • Assists students and faculty on activities such as academic advising, filing of academic forms (e.g. petitions for exception or exemption, course substitutions, etc.), counseling guide reviews, off-campus travel, and any other activities for which students or faculty may need assistance.
  • Assists with the annual budget process and provides dean with routine reports of expenditures against the budget throughout the year.
  • Processes all expenditure requests.
  • Prepares for and attends all assigned unit faculty and other meetings and maintains timely and accurate minutes of the meetings.
  • Collects syllabi for all courses and ensures compliance with university standards.
  • Maintains database, spreadsheets, and other reports.
  • Maintains all records required by SACSCOC and ACBSP.
  • Assists with the preparation of faculty load reports, enrollment reports, absence reports, and other reports required by the office of academics.
  • Assists with all travel arrangements for the dean and faculty.
  • Assists with the supervision of student workers assigned to the unit.
  • Orders and maintains supplies and arranges equipment maintenance for the unit.
  • This job description shall include, but is not necessarily limited to, the above duties. This position may temporarily perform other duties assigned to maintain operations and services.


MBA Program Support

  • Reviews application files and completes application checklist before sending files to the program director.
  • Serves as custodian of graduate documents, records, and files.
  • Assists program director in managing the enrollment process for new students.
  • Works with appropriate personnel to run regular reports on student progress and performance.
  • Processes drop/add requests for students.


Required Knowledge and Abilities

  • Computer proficiency in the following areas: spreadsheet software, word processing software, presentation software, statistical software and other software that may increase productivity and efficiency; and a willingness to learn and use new software related to functional responsibilities
  • Ability to read, analyze, and interpret communication from sources within and without the institution. Ability to effectively present information and respond to questions from students, faculty, staff, administrators, parents and community members
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to calculate descriptive and predictive statistics
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Proficient in the use of copiers and other office equipment
  • Excellent communication and interpersonal skills
  • Ability to interact with diverse faculty and student populations
  • Ability to maintain confidentiality and professionalism with all associated duties
  • Willing to learn new duties that will assist the faculty and students
  • Highly organized, detail-oriented, and committed to completing tasks with deadlines
  • Knowledge of department and university policies and procedures


Education and/or Experience                                                 


Bachelor’s degree (B. A. or B.S.) from four-year college or university preferred; or equivalent experience required.
